First 5 Monterey County is hiring for an Senior Administrative Assistant to assist the Executive Director and assigned Program Staff with a wide range of administrative duties and event coordination. This position is highly visible and interfaces with the public including Funded Partners, community members, public officials, department heads, consultants, and various entities supporting early learning opportunities in Monterey County, making strong communication skills coupled with the ability to foster professional relationships important for this role. Responsibilities for this role involve supporting the Executive Director with administrative functions to include calendar management and meeting and travel coordination, preparation of documents and reports, compiling records, and organizing and maintaining files. Incumbents must be able to independently deliver a high level of communication, and possess the business acumen required for procurement activities, coordination of meetings and trainings, event planning, and special projects.

This role will also provide administrative and operational support to the various Program Officers as needed by frequently coordinating events, meetings and trainings, to include coordination of all event logistics from management of invitations, registration and preparing agenda packets to confirming the facility, amenities and resources required for a successful event. In some instances, this role will be in attendance taking meeting minutes and promptly creating reports. This role will also support and manage the procurement process required as a public agency, including document and timeline management. As part of the administrative team, this role will greet and assist visitors, clients and staff with any clerical needs.

Qualified candidates must demonstrate consistent attention to detail, as the role will be managing simultaneous projects and tasks regularly, ensuring cross-department programs and projects meet deadlines. Additional requirements include:

  • Demonstrated previous experience, may include high school diploma or equivalent and four to five years of administrative support; Associate degree or Bachelor's degree with two to three years of experience
  • Strong communication skills, both written and verbal, including the ability to listen attentively, clearly verbalize needs and requirements
  • Ability to establish, organize, and maintain accurate filing systems, knowledge of data collection, and storage to compile, assimilate, and organize printed and electronic information
  • Intermediate to advanced knowledge of Microsoft Outlook, Word, and Excel.
  • Working knowledge of PowerPoint.
  • Availability to travel independently within Monterey County to perform duties as assigned.
  • Bilingual Spanish, written and oral, is highly desired.

This position is classified as Administrative Support II and is a full-time non-exempt position. First 5 Monterey County offers an attractive compensation and benefits package. The benefits package includes medical, dental, vision care, company paid life insurance, vacation, and a retirement plan that includes an employer contribution. Regular office hours are M-F from 8:30 am - 5:00 p.m. and a full-time schedule consist of 7.5 hours per day (37.5 hours per week).
